Privacy Statement on the Protection of Personal Data

Description

The processing of personal data concerns the records of IP addresses from your browser session that are recorded in the httpd files on the servers of Fat Cow Inc, who host the IUCN/SSC Otter Specialist Group website.

We do not store any other personal information – no cookies are used on our website.

The Data Protection Directive (95/46/EC) and the ePrivacy directive (2002/58/EC, as revised by 2009/136/EC) are applicable. From 25 May 2018, the General Data Protection Regulation (GDPR) Regulation (EU) 2016/679) will also apply.

What personal information do we collect, for what purpose and through which technical means?

Personal Information

When you go to any website, your browser uses the Internet address book (called DNS), to figure out where website can be found on the wider Internet, and then contacts this address. In our case, if everything is configured ok, a piece of software called a Web Server will accept this contact request and return information back in the form of web pages, like the one you are reading right now.

When you visit this website we automatically collect some information which is stored in the web server logs. These logs contain a history of page requests. Information about the request, including client IP address, request date/time, page requested, HTTP code, bytes served, user agent, and referrer are added. A statistical analysis of the server log is used to examine traffic patterns by time of day, day of week, referrer, or user agent. The software used to analyse the server logs is AWStats (www.awstats.org).

The only part of this that could identify you personally is your IP address. An Internet Protocol address (IP address) is a unique number assigned to all devices (such as a computer, tablet, or phone) when they connect to the internet.  It enables the Web Server to know where to send back the information you requested. An IP address will provide the region, city and town that you are in, but not your name or precisely where you are. The only exception would be if a law enforcement agency required more detailed information.

Purpose

We occasionally analyse the web server logs to determine

  • How many people read the Bulletin
  • Whether all page accesses are successful, or whether there are failures, as this indicates whether we have configured our pages correctly

We do not download the logs – they remain on the web host servers, and are only accessed via secure log in to their system inside their firewall.

The Editorial Team will use the data to prepare anonymous statistics about the usage of the site. These statistics may be published.

Data will be used only for the above purposes and in order to improve the service

Who has access to your information and to whom is it disclosed?

The collected data is held on the Fat Cow hosting system. It is treated confidentially and used only by the Editorial Team. No personal data is transmitted to other parties. The Bulletin team will not share personal data with third parties for direct marketing.

How do we protect and safeguard your information?

The collected personal data is stored on the network of servers of the Fat Cow hosting service, inside their security system.

How long do we keep your data?

Web server logs are overwritten whenever full – the rate at which this happens will depend on usage of the website but for our website would typically be daily. At this time, summary, anonymised statistics are recorded, but detail, including your IP address, is destroyed.

Authors and Reviewers

When you submit or review a manuscript in a publication that is published by us, your name, email address, affiliation, and other contact details the publication might require will be used for the regular operations of the publication. We will not use your contact details for marketing purposes.

As a policy, unless there are unacceptable security implications to doing so (see Editorial Policy), authors’ names, affiliation and the corresponding author’s email address are published as part of the paper, and will remain unchanged thereafter, as is the norm with academic publication.

Most contributions are peer-reviewed. This is organised by the Editor, and all stages managed by him; after acceptance, all emails and drafts will be destroyed – only the agreed final version will remain. This will be passed to the Assistant Editor and processed for publication on this website. No confidential information will be retained or further distributed.

We have practices in place to ensure that steps are taken to maintain the security, integrity, and privacy of the personal data collected and processed during the publication process.
